New to Forge? Start here to understand how the app is organised and how to get your account set up.

How is Forge organised?

Forge is built around two levels:

  • Your account (Workspace) — this is your business. It holds your clients, team members, and global settings like your email sender and integrations.
  • Clients — each client gets their own space with contacts, deals, tasks, forms, and more. Everything you do for a client lives inside their client area.

Use the switcher at the top of the sidebar to move between clients, or select "All clients" to see everything at once.

How do I log in? Do I need a password?

Forge uses magic links — no password required. Enter your email on the login page and you'll receive a sign-in link. Click it and you're in. Links expire after 15 minutes.

What should I set up first?
  • Create at least one client (from the Clients page) to organise your work.
  • Connect your email sender in Settings → Integrations so you can send emails from your own domain.
  • Add your first contact inside that client.

The onboarding checklist on your dashboard will guide you through these steps.

How do I invite someone to help me?

Go to Settings → Members. Enter their email address and choose a role:

  • Admin — can manage everything in your account except removing you (the owner).
  • To give someone access to a single client only, open that client's detail page and add them there.

They'll receive a magic-link login email automatically.

Contacts

Contacts are the leads and people you're tracking — anyone you've spoken to, are working with, or want to follow up with.

How do I add a contact?

Click Add contact on the Contacts page. You only need a name or email to get started — everything else can be filled in later from the contact's profile.

You can also import contacts in bulk from a CSV file using the Import button.

What is Lead Source?

Lead Source tracks where a contact came from — for example, a form submission, a referral, or an import. It's optional but useful: the Reports page uses this to show you which channels are bringing in the most leads.

How do I send an email or SMS to a contact?

Open the contact's profile and use the Send email or Send SMS buttons in the activity panel. Emails and SMS messages are logged in the contact's timeline automatically.

To send SMS messages, you'll need Twilio connected in Settings → Integrations.

What is the activity timeline?

Every contact has a timeline that records everything that's happened — emails sent, notes added, deals created, form submissions, and more. It gives you a full history of your relationship with that person at a glance.

Your Sales Pipeline

The pipeline lets you track where each potential deal stands — from first conversation through to closed and won.

What are the pipeline stages?

The default stages are: New → Contacted → Qualified → Proposal → Won → Lost. Deals move left to right as they progress. You can drag a deal card to a new column to update its stage.

How do I add a deal?

Click Add deal at the top of the Pipeline page, or open a contact's profile and add a deal from there. Linking a deal to a contact keeps everything connected in the contact's timeline.

What is Deal Value?

The estimated revenue if the deal closes. This is optional, but once set, your pipeline total and reports will reflect it. The dashboard shows your total open pipeline value.

What happens when I mark a deal as Lost?

You'll be prompted to choose a loss reason (optional). The deal moves to the Lost column and is excluded from your active pipeline total. Lost deals still appear in reports so you can track patterns over time.

Tasks & Calendar

Use tasks for follow-up to-dos and the calendar to schedule appointments with contacts.

What's the difference between a task and a calendar event?

Tasks are action items with a due date — things you need to do, like "Follow up with Jane" or "Send proposal". They show up in the Tasks page sorted by urgency.

Calendar events are scheduled appointments with a specific time — like a discovery call or a meeting. They appear on the calendar grid.

How do I see tasks that are overdue?

Go to the Tasks page and click the Overdue tab. Overdue tasks also appear as a badge on the Tasks link in the sidebar so you always know when something needs attention.

Can I link a task or event to a contact?

Yes. When adding a task or calendar event, use the Contact field to link it. The task or event will then appear in the contact's activity timeline.

Forms & Booking Pages

Collect leads from your website automatically and let contacts schedule time with you.

How do I add a form to my website?

Go to Forms, create a form, then open it to find the embed code. Copy the snippet and paste it into any page on your website. New submissions will automatically create contacts in Forge.

What is a booking page?

A booking page is a scheduling link — like a personal Calendly. Set your availability, create a page, and share the link with contacts so they can pick a time that works. New bookings create calendar events in Forge automatically.

Can a form automatically send a follow-up email?

Yes. Open the form in the form builder and set up an automation sequence. You can configure a series of emails to send automatically after someone submits the form.

You'll need your email sender connected in Settings → Integrations first.

Sending Emails & Broadcasts

Send one-to-one emails from a contact's profile, or reach a whole group at once with a broadcast.

How do I send an email to one person?

Open the contact's profile and click Send email. The email is sent immediately and logged in the contact's timeline.

How do I send an email to a group of contacts?

Use Broadcasts. First, create an email template in Email Templates, then go to Broadcasts and create a new broadcast. Choose your template and select your audience — all contacts, or filtered by lead source.

Contacts who have unsubscribed are excluded automatically. Every broadcast email includes an unsubscribe link.

How do I send from my own email address?

Go to Settings → Integrations and connect your Resend account. Add your API key and set a From address using your domain. Without this, emails are sent from a shared Forge address.

Quotes & Invoices

Send professional quotes directly from Forge. Contacts can view and accept them online. Accepted quotes can be converted to invoices.

How do I create and send a quote?

Go to Quotes and click New quote. Add a title, link a contact, add your line items, and save. Once ready, open the quote and click Send — the contact receives a link to view and accept it online.

How do I convert a quote to an invoice?

Open an accepted quote and click Convert to invoice. The invoice keeps all the same line items and can be sent to the client with updated payment details.

Can I accept PayPal payments?

Yes. Add your PayPal username in Settings → Workspace. A PayPal payment button will then appear on your public quote and invoice pages.

How do I reuse the same line items across quotes?

Add your services and products to the Products page. They'll be available to select directly when building a quote, so you don't have to type descriptions and prices each time.

AI Chat Assistants

AI Agents are chat assistants that answer questions and capture leads automatically — on your website or via SMS.

What can an AI Agent do?

An AI Agent can answer questions about your business, collect a visitor's name and contact details, and create a new contact in Forge when someone engages. You define its personality and what it knows via a system prompt.

How do I add a chat widget to my website?

Go to AI Agents, create an agent set to Web chat, then open the agent to find the embed code. Paste the snippet before the closing </body> tag on your website.

What do I need to use AI Agents?

You'll need an AI API key connected in Settings → Integrations — either an OpenRouter key (which gives you access to many models) or a direct OpenAI key. For SMS agents, you'll also need Twilio connected.

Where do I change my display name?

Go to Settings → Profile and update your display name there.

What integrations does Forge support?
  • Resend — send emails from your own domain.
  • Twilio — send SMS messages and run SMS AI Agents.
  • OpenRouter — power AI Agents with access to multiple AI models.
  • OpenAI — alternative to OpenRouter for AI Agents.

All integrations are configured in Settings → Integrations.

What is a custom domain?

If you have a domain configured to point at your Forge account, add it in Settings → Integrations. Your public booking pages and forms will then use your domain in their URLs.

What do the member roles mean?
  • Owner — full access including billing and member management. There must always be at least one owner.
  • Admin — can manage all clients, contacts, and settings. Cannot remove the owner.
  • To give someone access to a single client only, add them on the client's detail page rather than here.
